Privacy Policy

Effective August 30, 2026

TruckHQ is workplace software for moving companies. Managers use it to build the day's dispatch board and track attendance; crew members use the phone app to see their schedule, read company announcements, keep their own hours, and send requests to their manager.

Your employer decides what goes in here. If you are a crew member, the moving company you work for controls your information in TruckHQ โ€” the same way it controls your timesheet or your personnel file. TruckHQ stores and processes that information on your employer's behalf. We do not decide what your employer records about you, and we do not use it for anything of our own.

The crew app does not collect your location, your contacts, your photo library, or anything you have not entered or been asked for. Photos are only accessed when you take one for a spot check.

We may also disclose information if the law requires it, or to protect someone's safety.

Deleting your account

You can delete your account at any time from inside the crew app: open My Info and tap Delete my account. No email to us is required.

What is deleted immediately

What your employer keeps

Your employer's own records of your work stay with your employer โ€” your attendance history, spot checks you completed, and pay requests they approved. These are the company's business records, kept for payroll, tax, and employment purposes in the same way a paper timesheet would be, and they are not ours to erase. If you want those removed, ask your employer, who can delete them from their dashboard.

If you would rather we handled a deletion request for you, or you no longer have the app installed, email robbie@truckhq.app and we will action it.

How long we keep information

Company records stay for as long as the company uses TruckHQ. If a company stops using the service, its data is deleted within 90 days of the account closing, unless it asks us to remove it sooner or the law requires us to keep it. Backups are overwritten on a rolling basis and are purged within 30 days.

Security

Traffic is encrypted in transit, and information is stored on servers in the United States. Every table enforces company-level and person-level access rules in the database, so a request that should not see a row cannot see it even if the app asked for it. No system is perfectly secure, but we test these boundaries deliberately, including with accounts that try to read across them.

Your rights

Depending on where you live, you may have the right to access, correct, or delete your information, or to object to how it is handled. Because your employer controls your work records, the fastest route is usually to ask your manager. You can also contact us and we will help, and we will pass on anything we cannot action ourselves.

Children

TruckHQ is workplace software for employees of moving companies. It is not directed to children, and we do not knowingly collect information from anyone under 16.

Changes to this policy

If we change this policy in a way that materially affects you, we will update the date at the top and notify companies using TruckHQ. Continuing to use the service after a change means the updated policy applies.
